Introduction

PHP wanted to simplify their Incident Management System to make it easier for healthcare workers to document patient and employee concerns. They asked us to overhaul the user flows and remove key friction points while making small tweaks to improve the branding.

The Challenge

The redesign of the Incident Management System gave us significant hurdles to work around outside of HIPAA regulations. First, we had to abridge a complex form creation flow and construct a new permission hierarchy to ensure compliance in each step. We also had to consider the limitations of what we could and couldn’t use from the existing app from a legal point of view. On top of everything, we had to ensure our core audience could understand how to complete each action regardless of their technical capabilities.

Solution

We began our research process as we normally do; by interviewing key users and stakeholders to identify pain points. Once we had that data, we needed to figure out how we would cover all the right bases with the new flows while prioritizing compliance and app permissions. Before we started building out sitemaps, we conducted a thorough competitive analysis of similar products in the healthcare space. We closely studied the designs and patterns in these systems to see what features and functionalities we could adopt.

We mapped the end-to-end experience of incident reporting, denoting where permissions were housed in the new architecture and demonstrating all the possible user paths.

The client liked their existing brand, so we provided multiple options for icons, color systems, and app components to expand their visual identity and make the experience more intuitive.

With the intricacies of the PHP project, we treated discovery and research as an ongoing phase throughout the product build. We revisited competitor products to solidify logistics and prioritized learning sessions before each flow construction. In the end, we resolved common user complaints by cutting down task completion steps and reducing jargon. Since we designed our wireframes at the most bare-bones level, we ended up with flows that were reusable for multiple projects with a few simple tweaks.
